Ford House 2025 Harvest Day Vendor Rules and Regulations
Thank you for being a part of Harvest Day at Ford House! To ensure a safe, successful, and enjoyable experience for everyone, please review and adhere to the following rules and regulations:
1. Vendor Setup & Location
- Vendors will be assigned specific locations prior to the event. A few days before the event, they will receive an email with instructions on their location and arrival time.
- Vendors will receive contact information for the Event Coordinator with their instructions in case of day-of questions.
- Vendors must set up within their designated area, which is 10′ x 10′ or 10′ x 20′.
- Setup time:
- Group A: 9 a.m.
- Group B: 9:30 a.m.
- Group C: 10:00 am.
- All vendors must be ready by 12 p.m.
- Vendors are responsible for their own setup, including tents, tables, chairs, and signage.
- Vendors may drive to their location to drop off goods and equipment, but they must move their vehicle to the assigned area immediately upon dropping it off.
- Vendors must arrive during their scheduled arrival time. If you arrive late, you may be unable to drive your products to your booth location. No vehicles will be permitted on the road after 10:15 a.m. Please plan accordingly to ensure a smooth setup.
- Tents must be securely anchored to ensure safety in the event of wind or inclement weather.
2. Operating Hours
- All vendors must remain open and operational from 12 p.m. to 5 p.m. during the event. Early teardown is not permitted unless approved by event staff.
3. Utilities
- Ford House does not provide electricity, water, or other utilities.
4. Payments and Transactions
- Vendors are advised to prepare for cash transactions as cell phone service can be spotty in certain areas of the property.
- Secure cash and payment systems at all times. Ford House is not responsible for lost or stolen items.
5. Permits and Licenses
- Food vendors must provide all necessary health permits and licenses to operate.
- Vendors selling taxable goods are responsible for collecting and reporting applicable sales tax.
6. Parking and Access
- Vendor must unload their vehicles and immediately relocate them to the designated vendor parking area. All cars must be moved to designated vendor parking areas by 10:30 a.m.
- Only one support vehicle per vendor is allowed on-site during setup and teardown.
7. Safety and Conduct
- Vehicles are prohibited from driving or parking on the grass at any time.
- Smoking, vaping, and the use of alcohol or drugs are strictly prohibited on Ford House property.
- All vendor activities must align with the family-friendly nature of the event.
- Open flames are not permitted.
8. Vendor Waste
- Vendors must keep their area clean and free of debris.
- Dispose of waste in designated receptacles; do not leave trash behind.
- Food vendors are responsible for properly disposing of grease or other food-related waste.
- Ford House will collect all refuse at the end of the event.
9. Cancellations
- There are no refunds for vendor fees unless Ford House cancels the event.
10. Weather Policy
- Harvest Day will proceed rain or shine. Vendors should prepare for varying weather conditions.
- In the event of severe weather, Ford House reserves the right to delay or cancel the event for safety reasons.
11. Compliance
- Vendors must comply with all event staff directions and property rules.
- Failure to adhere to these rules and regulations, as well as standard Ford House Rules, may result in removal from the event without a refund.
